Information for conveners and co-conveners

General

    • The BACO-25 Portal is the central hub from which you can gain access to all important forms and information (registration, abstract submission, abstract evaluation, program creation, interactive program) after user account registration.

  • 3. Timeline

    • 15 February: Abstract Submission deadline
    • 17 – 28 February: Abstract Evaluation (by conveners only)
    • 3 March – 8 March: Proposals of moving abstracts to different symposia and reviewal of moved abstracts (conveners)
    • 10 March: Notifications of Acceptance (Oral or Poster) and Rejection (BACO-25 Portal)
    • 10 – 28 March: Program Finalization (Scientific Program Committee and conveners)

Abstract Submission

    • Abstract submission will be open on 16 November 2024 until 15 February 2025 and authors can both submit and edit their submitted abstracts online up to this deadline. Please check the abstract submission guidelines at http://www.baco-25.org/abstract_submission_guideline
    • Convenors may designate invited speakers in their symposia. Invited speakers must register and submit abstracts according to the regular deadlines. Their expenses will not be funded by BACO-25; they may be awarded two timeslots for their presentations.
    • Conveners and co-conveners can monitor submitted abstracts on the BACO-25 Portal.

Evaluation

    • Abstract evaluation will take place online from 17 to 28 February 2025. Evaluation forms will be accessible from the BACO-25 Portal and detailed evaluation guidelines will be available to conveners before the evaluation opens.
    • During this phase co-conveners will provide feedback about abstracts to the lead conveners, who will then accept, reject, designate abstracts as ‘invited’, or suggest moving them to a different symposium.

Moving abstracts between symposia (conveners only)

    • Symposia with an insufficient number of accepted abstracts will be cancelled and the abstracts moved to different symposia. The Scientific Program Committee (SPC) will inform the conveners and request necessary changes.
    • Abstracts moved to a different symposium will be reviewed by the new conveners. By logging into the evaluation platform they will be able to either accept or reject the abstract or suggest a different symposium for it.

Program Finalization (Scientific Program Committee and conveners)

    • Abstract authors will receive their acceptance notifications on 10 March 2025. Online registration will be open on 1 December 2024 until 30 April 2025 for early bird and until 25 June 2025 for regular registration. On-site registration will also be possible (19-25 July 2025).
    • From 10 to 28 March 2025, SPC and conveners will use the online program creation tool to schedule oral and poster sessions. Detailed program creation guidelines will be sent to conveners in advance. Final decisions on the definitive program will be in charge of the SPC and the BACO-25 LOC (Local Organizing Committee).
