Agreement on the Collection and Usage of Personal Information

The Busan IAMAS-IACS-IAPSO Joint Assembly 2025 (hereinafter referred to as BACO-25) establishes and discloses the following personal information handling guidelines in order to protect the personal information of information subjects in accordance with Article 30 of the Personal Information Protection Act and to promptly and smoothly handle related grievances.
BACO-25's privacy policy may be changed according to changes in government laws and guidelines, our terms and conditions and internal policies, and any changes will be posted on the website immediately.

1. Purpose of collection and use of personal information

BACO-25 collects and uses personal information for the following purposes within the minimum scope to provide optimal services to users.

1) Processing related tasks such as customer notice, news delivery, training application and notice delivery, course registration confirmation and completion certificate printing, and post-service provision

2) BACO-25 training guide and other advertising information transmission and marketing activities (e-mail, text message, postal)

3) Collection of personal information when inquiring through website inquiry

2. Items of personal information to be collected and methods of collection

BACO-25 collects the minimum personal information necessary to provide information and education for the overall management of companies and institutions by classifying them into essential and optional information.

Required items are information necessary to perform the essential functions of the service, and optional items are information that does not affect the use of the service itself, but is additionally collected to provide additional value to users.

The name, company name, company phone, mobile phone, and e-mail that are required to be collected are used to classify users according to service operation and use the service. There are no restrictions or disadvantages in using the service even if you do not enter the optional items.

3. Period of retention and use of personal information, and destruction

BACO-25 collects and retains personal information only in accordance with the provisions of laws and regulations and the consent of the information subject, and the retention period and use period are within 5 business days from the end of the retention period, except as stipulated in other laws and regulations, and the purpose of processing personal information When the personal information becomes unnecessary, such as achievement, abolition of the service, or termination of the business, the personal information is also destroyed within 5 business days.
However, if the user requests a separate withdrawal, the collected personal information is completely deleted from the hard disk by a method that cannot be reproduced and is processed so that it cannot be viewed or used for any purpose.

2) How to destroy personal information
Personal information printed on paper is shredded or destroyed by incineration, and personal information stored in electronic file format is deleted using a technical method that cannot reproduce records.

4. Provision and consignment of personal information

In principle, BACO-25 uses customers' personal information only for the purpose of collection and use, and does not disclose it to others or other companies or institutions.
However, for the purpose of sending advertising DMs, we entrust the handling of personal information to an external professional company as follows.

5. Matters concerning the installation, operation and rejection of the automatic personal information collection device

In order to provide personalized and customized services to individuals, BACO-25 uses cookies to store and retrieve user information from time to time.
A cookie is a small data package that the server used to operate the website sends to the user's browser and is stored on the hard disk of the user's computer.

To analyze user access frequency and visit time, identify number of visits, etc.

2) How to reject cookie settings
You have the option to install cookies.

6. Measures to secure the safety of personal information

1)Encryption of personal information
Customers' personal information is safely protected through encryption solutions during transmission and storage.

2)Establishment of information security system
The web server is operated by an organization equipped with a complete data center facility system (emergency generator, UPS, constant temperature and humidity, etc.) and a multi-level security system, and is protected against physical intrusion.
Internally, the server is primarily protected by a firewall and web firewall, and a secondary backup system is prepared to prevent data loss even in case of emergency through a double backup system.

3) Restriction of access to personal information processing system
Access to personal information is controlled by granting, changing, and erasing records of access to the personal information processing system, and unauthorized access from outside is controlled through an intrusion prevention system and DB access control solution.

4)Minimization of personal information handling staff and training
Personal information handling personnel are minimized to those who perform personal information management tasks and those who are unavoidable in the handling of personal information for business. We also check and take corrective action if any problems are found.

7. User rights and how to exercise them

Customers may request to view their personal information processed by BACO-25, and may request correction or deletion of errors in their personal information.
However, if the personal information is specified as a collection target in other laws, the deletion cannot be requested.
Complaints are handled through e-mail (bacosecretariat@gmail.com) for personal information complaint handling and inquiries.
BACO-25 handles personal information that has been canceled or deleted at the request of the user as specified in the period of retention and use of personal information collected by BACO-25, and handles it so that it cannot be viewed or used for any other purpose.

Terms of use

Chapter 1 General Rules

Article 1 (Purpose)
The purpose of this Terms and Conditions (hereinafter referred to as "Terms") is to prescribe the terms and procedures of use of all websites (http://baco-25.org , hereinafter referred to as "Services") provided by The 37th International Geological Congress 2025.

Article 2 (Definition of Terms)
The terms used in these Terms and Conditions are defined as follows.

The term "member" refers to a person who agrees to these terms and conditions, enters into a service use contract with the association, and is granted a user ID.
The term "use contract" refers to all contracts concluded between the association and its members in connection with the use of services, including these terms and conditions.
The term "user ID" refers to a combination of letters and numbers set by members and approved by the association for the identification of members and the use of services.
The term "password" refers to a combination of letters and numbers set by a member to verify the identity of the member identified by the user ID.
The term "manager" means a person selected by the association for the overall management and smooth operation of services.
The term "cancellation" refers to the cancellation of a member's service use contract.

Article 3 (Effect of Terms and Conditions and Changes)
The contents of these terms and conditions shall take effect by posting them on the service screen in due course or otherwise notifying the member.
The association may change these terms and conditions in the event of a reasonable reason, and shall notify the members of the changed terms and conditions without delay.

Article 4 (Criteria other than terms and conditions)
Matters not specified in these terms and conditions may be applied according to the purpose of the relevant laws and terms and conditions for each service.

Chapter 1 General Rules

Article 5 (Establishment of a Use Contract)
The use contract is established by the consent of the member to the contents of the use contract and by the association's consent to the application for use.
Consent to the Terms of Use shall be deemed to be accepted by the Member upon clicking the "I agree" button on the Terms of Use below.

Article 6 (Application for Use)
Apply for use by accessing the service online and filling out the application form for membership of the association.
All members must provide their own information to use the service, and members who do not register their exact information, such as stealing other people's information or registering false information, cannot claim any rights in relation to the use of the service and may be punished in accordance with relevant laws.

Article 7 (Acceptance and restriction of application for use)
The association accepts the use of the service when applying for use in accordance with Articles 5 and 6.
The society may withhold its consent in any of the following cases.
- Where accurate information of the person is not provided
- Where an application is filed for the purpose of violating laws and regulations or hindering the well-being and order of society and the good customs and customs of society
- If you wish to use this service for an unauthorized purpose
- Where the requirements for application for use determined by the association are insufficient In any of the following cases, the association may withhold consent until the reasons for restricting consent are resolved.
- If the conference does not have room for facilities
- In case of technical difficulties in the conference
- Where it is difficult to accept the use due to the circumstances of other academic societies
The association may withdraw its consent to use if a reason under each subparagraph of paragraph (2) is found after the membership registration process is completed.

Article 8 (Change of contractual matters)
If the matters listed at the time of application for use are changed, the member must modify them online, and the member is responsible for the problems caused by not changing them.

Chapter 3 Duties of Contracting Parties

Article 9 (Obligation of the Society)
The association shall not divulge or distribute the personal information of the members it knows about the provision of services to third parties without their consent.However, this shall not apply to requests from state agencies under the provisions of the Framework Act on Telecommunications, etc., if there is an investigative purpose for crimes, requests from the Information and Communication Ethics Committee, or requests according to other relevant laws.
The association may prepare and use statistical data on the personal information of all or some members in relation to their work within the scope of paragraph 1.
In order to provide continuous and stable services, the association shall repair or restore facilities without delay unless there is an unavoidable reason.

Article 10 (Duty of Members)
When applying for membership or changing member information, a member shall fill out all matters with his/her accurate information based on facts, and shall not claim all rights related thereto if he/she registers false or other person's information.
A member shall not perform any of the following acts when using the service.
- Illegal use of another member's ID
- The act of reproducing information obtained from services for purposes other than the use of members without prior approval of the association, using it for publication, broadcasting, etc., or providing it to a third party
- Acts that infringe on the copyright of the society, copyright of a third party, etc
- The act of disseminating information, sentences, figures, etc. that violates public order and customs
- an act objectively judged to be associated with a crime
- Other acts in violation of relevant laws and regulations
Members shall comply with the matters stipulated in the terms and conditions and other matters announced by the association, such as all regulations and notices prescribed by the association.
Members shall not engage in business activities using services without prior consent from the association, and the association shall not be responsible for the results of such business activities.
A member shall not transfer or donate the right to use the service or other status under the contract of use to another person unless explicitly agreed by the association, and shall not provide it as collateral.
Article 11 (Obligation to manage user IDs (IDs) and passwords of members)
The member is responsible for managing the user ID and password of the member. The member shall be responsible for all consequences arising from the negligence of this management, and the society shall not be responsible for it.

Chapter 4 Use of Services

Article 12 (Service hours)
In principle, the use of the service shall be operated 24 hours a day, 24/7, unless there is any special problem with the work or technology of the association. However, the association may suspend the service on the day or time set by the association for regular inspection, expansion, and replacement of the system, and the suspension of the service due to scheduled work will be notified in advance on the website.
The society may temporarily suspend all or part of its services without prior notice in the event of unavoidable reasons such as urgent system checks, expansion and replacement, facility failure, or power outage.

Article 13 (Posts of members, etc.)
Posts refer to posts, photos, various files and links posted by members while using the service. The society may take related measures such as suspension, modification, deletion, movement, or refusal of registration of posts, etc. falling under any of the following subparagraphs without the prior consent of the members.
- In the case of gross insult or defamation to another member or a third party
- In the case of disseminating or linking information that violates public order and good customs
- In the case of commercial advertising for the purpose of profit
- Where it is objectively recognized that it is related to a crime
- In the case of infringement of other rights, such as copyrights of other users or third parties
- Where it is determined that the academic society does not conform to the nature of the service based on personal political judgment or religious opinion
- It goes against the principles of posting prescribed by the society, If it does not match the nature of the bulletin board
- Where it is deemed to violate other relevant laws and regulations

Article 14 (Copyright to Posts)
Copyright and other intellectual property rights to posts or works created by the society belong to the society.
The copyright of a post posted by a member within the service belongs to the member who posted it, and the society cannot use the post without the consent of the publisher. However, in the case of non-profit, posts registered by members may be used to a reasonable extent in accordance with fair practices stipulated in the Copyright Act without the member's separate permission.
Members shall not use commercially, such as processing or selling information obtained by using the service.
Article 15 (Provision of Information)
The association may provide members with various information deemed necessary for members to use the service by e-mail, correspondence, SMS, phone, etc. If they do not want to, they may refuse to receive information when applying for the service or on the member information correction menu.

Chapter 5 Contract Termination and Restriction of Use

Article 16 (Termination of contract and restriction on use)
When a member intends to terminate a use contract, the member himself/herself must apply for termination to the society through online (e-mail).
If a member has committed any of the following acts, the association may terminate the use contract without prior notice or suspend the use of the service for a fixed period of time.
